Meeting Minutes
August 12, 2010

Present: Corianne Rice Heinke, Robert Heinke, Kristina Griffith, Jeff Bemrose, Travis Wong, Renee Schaefer
Absent: Lani Akers
Meeting Called to Order: 7:30 PM

Lani will e-mail Treasurer report to us as soon as she can.

Corianne (and possibly Robert) will be talking with Dr. Wiltshire and Sarah Dodson as soon as a meeting date and time are finalized, hopefully sometime next week.

The OMB should be coordinating attendance through the OAB for any external playing opportunities that come up. Corianne will add this to her OMB meeting agenda.

Pick-up Game:

September 4 vs. New Mexico. OMB will be there, and as far as we know, the OAB will also be allowed to attend. If OAB people come, they will need to be paid/current members. And as always, high school recruitment is free.

Need to get the word out to our members ASAP! We have approximately 6 snail mail members and up to 300 more thru our e-mail marketing database. We (Kristina) can also post to Facebook and Twitter.

Corianne will try to get pick-up game info next week so we can send to our members. Renee will make sure that everyone in the back end database are included in the e-mail marketing database so we will be ready to send out the e-mail.

Homecoming:

Date still TBD, most likely in November.

Windbreakers: We assume we are getting the nice windbreakers from OMB again

Music: Kristina will check with Josh about getting PDF’s. Corianne will talk with Dr. Wiltshire to see if they are offering online access again.

Percussion Instruments: Can be picked up from Gerlinger, unless the OMB delivers it again like last year. Kristina may also have access to transportation if needed.

Percussion leader: Jeff Swanson and Don Elkington have done it in the past… We will tackle this question again later once the date is confirmed.

Percussion instruments: Jeff will e-mail percussionists to find out which instruments they need.

Percussion reunion: Some of the percussionists from past years are having a reunion prior to the pickup game, which may affect the availability of percussion instruments. Kristina will coordinate with Jeff to make sure they get percussion squared away.

Sousaphones: We will try to get from OMB again. We suspect we will have at least two people who will need sousas.

Red Lion and Buses: We are going to hope/assume that we will be at the Red Lion again (Kristina will check) and that the buses will be available again. (Corianne will check on the buses).

Online registration: Renee will contact Mike Suskin via e-mail to let him know that we will be needing site & database updates. Once we get dates & details, we can get the updates to him for inclusion in the site.

Membership charge: This year’s membership fee will be $25 flat rate, whether they attend one or both games plus any additional playing opportunities that come up.

New members: Last year, Jeff sent letters out to all the new graduates letting them know they can sign up for free. He’ll follow up with them to see who wants to join this year.

eNewsletter – we had decided to make it quarterly… Kristina recommended sending out general e-mail updates, even if they don’t include actual playing dates so much as member updates (who’s who).

Emma – Kristina is looking into using Emma for mass e-mails.

Corianne will check with the OMB to see if they can get us a list of current grads.

Capturing new grads? Kristina and/or Corianne would love to staff a table at the Band Banquet to hand out cards to the new grads. Corianne will check with the OMB on the band banquet. That date may be up in the air until they know if the team is going to a bowl game.

New Grad Coupon: Kristina will set that up.

We will try to create more structured opportunities for colorguard alumni. Need to identify specific locations in the box/on the field, get a lead contact person, get OMB practice flags, etc. Kristina will check with current grads to see if any colorguard alums are interested in coordinating.

Treats for the Band: $5 gift cards to UO Bookstore (5 at every game, excluding the pickup game). Corianne will do this again this year.

Scholarship: Renee will check on what we did last year. Pending financial update from Lani, we will not yet be able to determine how much/many to do this year. Travis recommends that we (Board) have the ability to select the recipients, with input from Dr. Wiltshire. We have last year’s scholarship form online. This year, we can have them fax, e-mail or mail them. Kristina will be the point of contact, since she has eFax.

We will be sponsoring at least an ad, possibly a trophy. Renee will find out when the deadline is for the ad submission, and Kristina will send word out thru the web to our members asking for photos we can use for the ad design.

The OMB needs volunteers again this year! Renee and Kristina will work together to get a consistent message out through e-mail notification, Facebook and Twitter.

The shirts and hats are at Laura’s house. Travis will keep track of the inventory. We will determine more permanent storage for the gear when the season approaches.
