OAB Minutes
May 18, 2008

Meeting Called to Order at 5:15 PM
“There is not a better deal in Oregon sports. There is no package
you can buy that gets you into three games and the Pape Jam for $30.” -

OMB Staff:
Shira is GTF again this year, and Kim Rottschaefer
is the band admin again this year.
BANQUET:
The school is organizing a banquet to commemorate
100 years of bands at Oregon. They’re developing a history
book with pictures, etc. along with a highlights DVD. Jordyn Lueker
is the contact. I will contact Kathleen to get any info she might
have. Les Simons is also a good contact. Renee will contact the
snail mail people for info & will have them mail it to Jordyn
if they’re interested.
October 10 (Friday night before homecoming). They
reserved the Valley River Center and can have up to 600 people
there! Banquet cost per person should be somewhere around $30 per
person.
Paying guests/family members will be welcome (spouses,
kids, significant others, etc.)
2008 Space Limitations:
We need to let our member base know that there
may be limited space at this year’s games at Autzen (because
of the banquet). We won’t know the exact cutoff will be until
Dr. Wiltshire knows how big the band will be. If everybody achieves
their numbers this year, the band will be 208 strong.
There’s probably going to be a run on seating
this year. We will count the registrations as they come in, so
it will be first-come, first-serve. Mark the registrations with
a sharpie! Dr. Wiltshire also has a room reserved at the Valley
River Center as a homecoming participation option for alums that
will have a TV there and will most likely be catered so they can
watch the game out of the elements.
SCHOLARSHIP:
To set up an endowed scholarship, you need to
set up $25k that will allow you to do an annual $1000 scholarship
with no end date. It would then be managed thru the university
along with their other scholarships. They will most likely talk
about this at the banquet. Dr. Wiltshire will check with the alumni
association, and Laura will talk to Lani about the collection & administration
of the funds while we’re building the endowment. Dr. Wiltshire
may be able to get an announcement at the HC game with a video
clip, etc. with information on how they can donate.
The OAB will offer the $500 scholarship again
this year.
Renee will put the scholarship application online.
FOB:
November 1 is this year’s event, and it’s championships, so Dr.
Wiltshire isn’t sure what that means for purchasing trophies, but ad
sales are unaffected. Festival GTF is Jenn Wood, and Nick Sherman is the student
coordinator. Renee motioned spending $200 on an FOB ad this year. Corianne
seconded; all approved.
BAND BANQUET:
The OMB Band Banquet is usually first weekend
in January after they come back from break. OAB will try to attend
this season’s banquet. Corianne motioned that we offer first
year free membership cards (pre-printed out at the banquet for
all graduating seniors and imprinted with their names). This makes
them card-carrying members with their first year free! Rob seconded;
all approved. |
PICKUP GAMES:
There are two pickup games this year. (August
30 & September 6.) The September 6 game may be tough to fill
but OMB students should be back on campus by then, which should
help.
Both garter bands but not all the section leaders
will be at the first pickup game on the 6th. School doesn’t
start until the 29th (and band camp is the 15th.)
PICKUP GAMES SHIRTS:
There will be spirit shirts again this year.
INSTRUMENTS FOR PICKUP GAMES:
Loaner horns will be done thru SOM. At the time
of registration, if they need a horn we will direct them to the
SOM. SOM may be able to do sousas as well.
HIGH SCHOOL PICKUP GAME ATTENDEES:
High school students are free to pickup games
because it’s a recruiting tool but adults have to pay. High
school band directors who bring kids don’t have to pay because
that’s also part of recruitment.
High school students are welcome to the pickup
games but not the other events.
PICKUP GAMES PARKING:
This is still a question. They have construction
going on at the SOM so it’s unclear where their buses will
leave from. Probably will be in front of Mac Court but Dr. Wiltshire
will let us know.
Washington is bringing a band to the pickup game
(current & alum). It’s possible that we could do a get-together
with them, but Dr. Wiltshire would have to get back to us on specifics.
There will be a shared tune with Husky/Duck bands, plus they’ll
play the national anthem together.
SOUSAS FOR PICKUP & OTHER
GAMES:
Phil will do sousas (two) for the first two takers.
Laura may be able to ask a couple of the band directors she knows
if we get into a pinch with lots of sousa registrations. |
HOMECOMING:
DRUMS:
OMB is storing our drums, so Robert can transporting
again. They’ll need to get a van, etc. like last year.
DRUMLINE:
Homecoming drumline – Laura will ask Jeff
Swanson again this year.
DIRECTOR:
Laura Arthur did a great job last year, so we
definitely want her again. (Phil motioned, Corianne seconded, all
approved.) Others have mentioned a desire to direct, so we can
add a spot on the form that asks if they were a drum major. Laura
will personally contact the drum majors to see if they’d
be interested in any drum major duties. She’ll also let Laura
know that we are opening it up to more than one drum major this
year.
T-SHIRTS:
T-shirt inventory is good. We will not order
shirts, nor will we allow pre-orders. We’ll sell what we
have.
JACKETS:
Corianne & Robert will be in charge of jackets & drums
again for the games this year. Need laundry plan for the jackets?
Dr. Wiltshire will check into this. If nothing else, they have
a dry cleaner they get a deal with. We will work with Kim on this.
ARMORY:
Jeannette will do the Armory arrangements again
this year. (We have the Armory until 2010.) |
MAILINGS:
Spring mailing will be within a couple of weeks. We will send out e-mail
(and postcards to snail mail members) to our paid members giving
them a heads up on this year’s registration. (If they want
to renew now, we can just give them info on how to do this.)
BOARD MEMBERS:
Laura will not be running for president again next year, so we need to
think about a new president. (Laura would like Robert to think about
it.)
Monica is stepping down from the board after December.
Renee would like to pass off the registration part of
the equation but will continue to do the website. (Just something
to think about, as we currently don't have anyone else in the Portland
area to check the PO box.) Maybe we can process thru the SOM? Dr. Wiltshire
will look at what’s
possible. We may be limited by our tax filing status, etc.
MEMBERSHIP:
Phil recommends that we set the 2008 fee structure
at $30 for the season (pre-register by August 15). If they register after
August 15, the price goes to $45. This
would get them
in for four games, including the Husky game. Corianne seconded; all
approved.
WEB UPDATES:
Renee wants to set up the e-mail campaign option
thru GoDaddy for spam-free bulk mailings. Phil motioned, Corianne seconded.
All approved.
