Band Minutes
December 10, 2006
Renee's House
Present: Phil, Laura, Robert, Corianne, Monica, Renee
Absent: Von, Lani
Meeting called to order: 2:22PM
I. Treasurer’s Report: Lani
Lani didn’t sent treasurer report but we do know that we’re
better off than we were before HC. Someone tipped the band $40 at HC
but the U-Haul rental to & from Springfield was $38 so Laura used
it to pay for that (and kept the $2 for her time). Around $1400.00 is
probably still in the bank between the membership funds & the t-shirt
invoice.
II. Secretary’s Report: Renee
Membership: We have 43 members, including 3 lifetime members. The current
setup is July 1 thru June 30 due to fiscal year setup. Next mailing:
Spring “save the date” card. PO box: is checked every Sunday
and is currently fine.
III. President’s Report: Laura
Von Kam: Is temporarily resigning from the board due to recent
cancer diagnosis. Phil moved we send Von a card & flowers. Monica
volunteered to head this up. Phil moved, Monica seconded; unanimous.
Total of $40 plus delivery charge(s).
Vice President Position: Jeannette resigned
from the board, primarily due to problems with getting a babysitter.
Her duties
include only three
things: Contacting Mike Wiley at the Armory, catering and counting shirts.
She has no problem doing all of these duties as a volunteer who reports
to a VP who then can attend the board meetings, etc. Phil nominated Corianne
Rice as new VP. Robert seconded, all approved (none opposed).
Homecoming
Armory: We now have the Armory thru 2009, plus we can now offer parking
to all OAB people.
Jackets: Corianne organized and cleaned the jackets. Only about 25 of
the shirts needed to be cleaned, and a handful of those actually were
getting threadbare. The jackets belong to the OMB, so we need to come
up with a plan for the jackets. Phil suggested maybe getting a couple
of $5 plastic tubs to pick up jackets and drop them off back to the OMB.
Laura will talk to Sarah Turley about jacket options.
Tailgating: Went fine.
Post-Homecoming Party: Wasn’t really a party this year,
but that’s
probably because we didn’t have much of an announcement this
year about that.
Volunteer Thank You Gifts: We forgot to thank Jeff Swanson last year!!
Laura Arthur (include board application), Tracy Ross at Sheldon, Jeff
Swanson, and Jeannette (as a thank you for prior board service). We will
check with Archives and/or Lani to see the dollar amount from last year
to match this year. $25 per person gift certificate at the Duck Shop
for all except Jeannette. Phil suggested we get U of O picnic plate set
for Jeannette. Corianne motioned for Duck Shop $25 gift certificates
for all, plus plates for Jeannette. Renee seconded. All approved, none
opposed.
Pape Jam:
Itinerary problems this year with mealtimes specifically. The pizzas
arrived at 10:45 (which is the time that also matched ESPN’s schedule).
The band wasn’t released for dinner. The pizzas sat for 3.5 hours;
in fact, the band didn’t get a break until after the first game.
First pizzas sat so long they went bad and the replacement pizzas finally
arrived at 2:30. The band was given a 10 minute break to eat, even
though they
were
supposed
to
be
playing
for
TV during
that
time. Also, the seating took 35-45 minutes to get everyone seated. Fourteen
OAB people showed up. Robert will get the list to Laura and/or Renee.
Need to work on better communication next year to avoid similar problems.
OMB Treats: In the past, we’ve spent $1000 per year to
pay for treats for OMB. We give them a check to buy treats at Costco.
In past
years, beginning with Pat Carney, Laura has goes down to the band box
and introduced herself to the band, mentioned the treats, etc. This year,
we didn’t have the full amount for treats. Last week she
got an e-mail from Sarah asking for status on the treats funding. Renee
moved
to write
$400 check to OMB to spend on
their Las Vegas bowl trip . Phil seconded, but amended the motion to
include caveat that the dollar amount not exceed 50% of remaining funds
after all expenses paid out for gift certs, etc.
Funding for the Future: Current setup
is that OMB pays for Armory & OAB
does something nice for OMB in return. Since that plan was enacted, our
membership base went
FLAT. (No new members.) In recent years, mostly due to Laura Arthur,
interest has picked up again.
Laura handed out the surveys that also dealt with whether they’d
go to HC if they had to pay.
In theory, we discussed making Homecoming the main
event, charging $25 per person, and making that our one funding source
for the year.
In addition, membership would be good from Homecoming one year thru
the day before homecoming the next year. We will think about membership
options. Laura will meet with Dr.
Wiltshire & possibly Bob Ponto to discuss options. We will meet again later to craft the bylaws,
etc. to match if needed. Laura & Corianne will drive down to Eugene
to meet with the guys. Laura will bring this up to Lani to make sure
she’s on board before they bring it back up again.
Phil suggested drafting a letter to former board members to ask for
feedback on why they dropped off and never paid membership again. He
will e-mail
to all before he sends anything out.
High-school kids at HC? No; they can do the pickup bands instead. This
needs to go on the spring mailing so they have advance notice.
Other funding ideas: Offer a drawing
for two tickets to the game for those who sign up for the game. We
could do the drawing
AT homecoming
for that
year’s
Civil War game, or for some other game later that season. Other
ideas are for getting pre-paid HC people by getting them into a
drawing for
tickets. We will need to discuss later, as we were running out of
time. Other perks we could offer: discounted or free membership
to FOB, a
concert
at the SOM, etc. We need to think of some options by the next
meeting.
IV. Other business
Pape Jam: There were a number of no-shows at the Jam. We need
to figure out why they didn’t come. Phil made an important distinction:
People who “signed up” at HC were actually only signing up
to be contacted about the Jam, not saying they’d actually be there.
Officers: Monica noted that this is the year we need to do officer elections.
Corianne is new VP, and all other officers will remain in their positions
(unless Lani decides when she returns from Vegas that she is stepping
down).
OAB Drumset: Phil said the OAB drumset is currently in storage
in Laura’s
guest room. We originally got it for the Jam and for the BGB but don’t
really need it anymore. The set contains a bass drum, floor tom, side
toms, snare, (Zilgen) cymbals, etc. Value is $1100 but Phil paid $500
for it. Phil moves to sell the drumset at a minimum price of $400. Rob
seconded. All approved.
Pickup Basketball Band: Don Elkington was at the Jam. Eric approached
him and asked if they would be willing to be the band for the next four
games.
The
17th,
21st
and 23rd (double-header). Don offered to organize the whole thing. Laura
will talk to Don about this. They could go as an OAB group and Laura
could make sure they have shirts. Then again, the shirts would be a huge
pain, so they could just tell them to wear green & yellow. Renee
offered to put a link on the website to direct traffic to Don.
