OAB Minutes

Autzen Stadium OAB Tailgater
Present: Phil Hodapp, Jeannette Hodapp, Corianne Good, Robert Heinke,
Laura Hicks, Lani Hoyer, Renee Schaefer
Absent: Monica Geraths, Von Kam
Meeting called to order 4:35 PM
Old Business
Financial: No changes to current financial situation
Newsletter: Newsletter and homecoming form are at
UO Press and should be mailing out this week or next week. Logo problem
delayed the print
job by one week, so Renee re-submitted the materials without logos to
speed the process.
Third Quarter Snacks: The OAB will be sponsoring
the 3rd quarter OMB snacks as promised, beginning with today's game.
Lani needs to get
check
for $1000 to Sarah Turley to cover snacks for the year. OMB will budget & purchase
snacks accordingly, and OAB may visit on game days at 3rd quarter to
pass them out & establish rapport w/OMB. See Laura Hicks if you are
interested in passing out 3rd quarter snacks. (Side note: Laura gave
Dr. Carney backround on why we are doing snacks now instead of OMB scholarship:
OMB general feedback that we got was that they did not feel that the
scholarships benefit the entire band - which is correct, since the scholarships
only went to one or two people out of the whole organization.)
New Business/Homecoming
Armory: Jeannette reserved the Armory for us. We have the Armory for
twelve hours, and the building will be available to us beginning five
hours prior to kickoff.
Coffee/Tea at Rehearsal: Jeannette is taking care of this. Caterers
will arrive prior to break time; Jeannette will give them setup times.
Game Day Schedule: Todd Zimbelman had requested that we submit a tailgating
schedule to the Athletic Department. We determined that a full schedule
is not required, since all they need from us is the time that we will
be performing at the Pitman Room. Laura Hicks will ask them to suggest
a good time for us to be there and we will plan around that.
Game Day Performance: Dr. Carney is open to an on-field game day performance
of the OAB with the OMB (where we would assemble on field in a block
in front of the OMB, perform the fight song & march/walk off the
field). He will need to discuss with with Sean Wagoner to determine feasibility.
Mobility of some of our members was mentioned as a possible problem,
but Jeannette pointed out that those who cannot tailgate with the OAB
generally go directly to their seats in the band box anyway, so they
would still have the option to opt out of the physical activity portion
of the game day performance. Laura Hicks to get update on game day performance
with the OMB and/or possible rehearsal time with OMB to work out field
details.
Sousaphones: Phil can get two sousaphones for us. One is reserved for
Kyle Brun and the second will be available to the first person who requests
it.
Drumline: Jeff Swanson is doing the drumline this year and will be helping
to secure loaner percussion instruments for the event.
Parking: We officially have 6 parking spots (reserved for Board members
and for Jeff Swanson for percussion transportation).
Shuttle from SOM to Armory: We currently do not have any requests for
member and/or instrument transport and will determine a plan of action
for a shuttle if the need presents itself.
Director: Laura Arthur, former GGB member & drum major, will direct
at this year's Homecoming. Laura Hicks to contact Laura Arthur to get
fun bio info on our game day director for the website.
Music: Phil will bring the music that the OAB already has; Laura to
check with Dr. Carney to see if they will be providing additional music
for us.
Memorabilia: We are not ordering new memorabilia at
this time but are still offering last year's supply of OAB
shirts to members. We will have
a close-out sale on FDABA items at Homecoming. Jeannette
to determine prices for FDABA close-out items. Current homecoming forms
have shirt ordering information on them, but in the future, we will
simply make gear available on game day on a first-come, first-serve
basis to avoid the logistics difficulites of reserving shirts from
online/mailed-in orders.
Signs: Jeannette will contact Monica to
create signs for tables for the FDABA gear sale. Renee will give Monica
a list of other signs that are needed for
the setup tables.
Game Day Windbreakers: Laura spoke with Dr. Carney about this. Todd's
original offer was to loan the OAB windbreakers for game day, and if
money was good, to provide T-shirts free of charge to alumni members.
Money is not so good, and as far as windbreakers go, they do not have
spares that match the exact ones the current OMB is wearing, but they
do have additional Nike winbreakers in their uniform room that we can
borrow for game day. Laura will follow up with Dr. Carney on securing
the windbreakers and getting them to and from the Armory on game day.
Laura to find out the cost of the windbreakers so that we can inform
members of charge payable to the OMB if they fail to return their windbreakers
by the end of game day.
Post Game Snacks: All board members to bring contribution to the snack
pile. Should be non-perishable snacks, like chips, soda (leftover Halloween
candy!) etc.
Cell Phones: A reminder to all board members to program each others'
cell phone numbers into your phones for game day communication.
HC Game Day Duties:

- Decorations/roadside balloons: Jeannette to recruit early OAB'ers
to assist with balloons outside the Armory & on the intersection
of Scout Road Way and MLK Boulevard. Renee Schaefer to rent/transport
helium
tank, balloons, scissors & ribbon to event for this purpose.
- Announcements/Troubleshooting:
Laura Hicks (to be aided as needed by Phil Hodapp, especially with
troubleshooting)
New Business/Other
New Director Dr. Patrick Carney: Laura and Renee met with Dr. Carney
(several times!) during game day and found him to possess very helpful & positive
attitude. We look forward to working with him. We opened discussion on
a number of homecoming topics and general alumni band issues and will
continue communication with him as we approach game day. Dr. Carney mentioned
a possible future project for OMB/OAB collaboration; stay tuned for details.
New OMB Liaison Sarah Turley: Laura and Renee also
met with Sarah Turley. Sarah is instrumental (pun intended) in putting
together a lot of the
logistics for the game day events and has been great to work with. She
reserved seats in the VERY crowded band box for the board members since
we were holding our meeting after the game. We are looking forward to
working with her.
Website Information: Renee will get in touch with Dr. Carney and Sarah
Turley regarding posting information on the OAB website for volunteer
opportunities (FOB, OMB fundraisers, etc.) Sarah also said that we can
use OMB photos from their archives, as they have bunches (Renee mentioned
that pictures of the current band would be fun to post on the site).
Renee will also work with Sarah to put together an e-mailed form for
OMB donations that would send info (no money!) directly to the Band Office.
Big Green Benefit: Laura had asked if the OAB was invited to this year's
BGB (of course, she already knew that the answer was no). But she then
offered to provide them with a hand-picked group of musicians, plus volunteers
to work the auction check-in tables, which was very appealing to them
except for the fact that they already had their arrangements made for
this year. Laura will continue to follow up with them over the next few
months to see if they can fit us in the plans for next year.
Pape Jam: As far as we know, we are
still accompanying members of the OMB and are not covering the entire
event ourselves. Renee to update Pape Jam date
on website (not there per Robert). Prior arrangements
included meat pizzas except for one or two vegetarian pizzas (this was
for the entire group, not just OAB) and up to five hotel rooms in the
hotels where the team members, OMB, are staying. Laura will follow up
with Dr. Carney to make sure that OAB is still attending this event and
to confirm whether arrangements will be the same as in years past.
